Every call in Kaia: Gong, Nooks, Orum and the meeting on your phone

Coaching only works on calls Kaia can hear. In 2026 Outreach opened three new doors: dialer imports, file uploads and a Gong sync. Here's how to use each one.

What it actually does

Before this year, Kaia mostly analyzed meetings it joined itself. Calls made in other tools, or recorded in a conference room, never reached it. That left holes in coaching, topic tracking and deal history.

Now there are three ways in. Calls from the Nooks and Orum dialers import automatically. Anyone can upload an audio or video file. And Gong recordings can sync over on an ongoing basis. Once a call is in, it gets the same summaries, coaching and search as a native Kaia recording.

Who it's for

Admins and RevOps connect the sources. Managers and reps get one searchable library of every conversation.

Why it matters

Coaching, topics and deal insights live in one place. It's especially useful if you're moving from Gong to Kaia, or running both for now.

How it’s grown so far this year

FEB
Nooks and Orum import. Calls from these parallel dialers come into Kaia automatically.
MAY
Upload your own recordings. Add an audio or video file for any meeting Kaia didn't attend.
AUG
Gong sync. Gong recordings flow into Kaia. You choose all recordings, or only those hosted by active Outreach users.

How to set it up

  1. Turn on Nooks and Orum imports

Go to Administration › Tools › Kaia, switch on "Kaia call recording import from 3rd parties," and save.

  2. Get a Gong API key

A Gong admin creates one in Gong under Admin Center › Ecosystem › API.

  3. Connect Gong in Outreach

An Outreach admin goes to Administration › Tools › Kaia › Import Recordings from 3rd Parties › Gong › Connect, pastes the key and picks a sync option. Read the privacy watch-out below before you choose.

  4. Upload a recording

Go to Kaia › Recordings › Upload recording and choose an mp4, wav, mp3, mov or m4a file. To find uploads later, filter by "Recording source is Uploaded File."

Steps paraphrased from Outreach's third-party import, Gong sync and upload articles. Menu names can change; check them against your org.

Moving off Gong?

We'll plan the switch so no calls fall through the cracks.
